What Got Shipped Today - 26/10/26 - Cost Plus head contracts, Microsoft 365 connections approved once, and invoices that say why they're blocked
26 October 2026 Features Cost Plus head contracts, with a Fee % and reimbursable cost codes "As a CA on a cost plus job, I need the platform to treat the contract sum as cost plus fee, not a fixed number I keep re-typing." Before: Every head contract was lump sum. There was nowhere to record that a job was cost plus, what the fee was, or which costs the client actually reimburses. After: A head contract now has a Pricing Type: Lump Sum (the default, unchanged) or Cost Plus. Cost Plus adds a single Fee % (0 to 50). The contract sum becomes a read-only Estimated Contract Value, the Schedule of Values is generated from the budget with one Estimate line per reimbursable cost code, and the Fee line calculates itself on your nominated margin cost code. Retention defaults to off for Cost Plus, and you can switch it back on with your usual settings. On Cost Plus projects the Budget Register gains a Reimbursable switch per cost code, so builder's overheads or rectification stay in your actuals but never reach the claim or the fee. Impact: Developer builds and high end residential jobs run in Deep Space the way the contract is written. This is the first step, with Cost Plus claim prefill and forecasting coming next. (1) Pick Cost Plus as the Pricing Type on the head contract. (2) Set a single Fee %. (3) The contract sum becomes a calculated Estimated Contract Value: the budget estimate plus the fee. Connected accounts: Microsoft 365 in one place, approved once for the whole company "As a Project Manager, I want to see exactly what my Outlook connection is used for, and our IT admin wants to approve Deep Space once instead of fielding requests from every user." Before: Your email connection lived in an integration tab, with no clear view of what it powered. Companies that only let their Microsoft 365 admin approve apps left users stuck at a "Need admin approval" page. After: A new Connected accounts page sits in your avatar menu. My accounts shows your Microsoft 365 connection with a row for each thing it powers (Send email, Read inbox, Calendar), which mailbox is your primary for sending, and a single Disconnect that tells you exactly what stops. Organisation approval lets an admin share a link with their IT team, who approve Deep Space once for the whole company. If an approval isn't finished, the page says so and the link stays usable. Impact: No more guessing what an email connection does, and no more users blocked one by one by company IT policy. (1) Your Microsoft 365 connection, with every feature it powers listed underneath. (2) The mailbox Deep Space sends from on your behalf. (1) The new Organisation approval tab. (2) Once your IT admin approves Deep Space, the whole company is covered. KAI auto-match threshold for the Invoice Inbox "As an Accounts lead, I want KAI to link an invoice to a purchase order only when it's sure, and hand me the rest to review." Before: KAI could link an invoice to a purchase order on a supplier match alone, and there was no way to set how confident it had to be. After: Company Settings, Commercial tab, Invoice Inbox now has KAI matching settings: an auto-match threshold (default 90%) and Require line-level match (default on). KAI only links when it clears the bar and every invoice line maps to a PO or subcontract line. Supplier-only matches never link. Anything below the bar shows as a KAI suggestion, not matched, with the confidence and the reason, and you choose Accept suggestion, Choose another or No PO. Only Admins can change the setting, and every change is audit logged. Impact: Fewer invoices quietly linked to the wrong PO, and a clear reason on every one KAI isn't sure about. (1) The setting lives on the Commercial tab in Company Settings. (2) The auto-match threshold, 90% by default. (3) Require line-level match, so supplier-only matches never link. Enter a progress claim as This period or To date "As a CA, I think in this period's dollars, but the claim screen made me work out totals to date for percentages." Before: On a head contract progress claim, a dollar entry meant this period while a percentage meant total to date. Mixing the two was an easy way to over or under claim. After: New Progress Claims and draft claims have an Enter claim as: This period | To date toggle above the Schedule of Values (This period by default, remembered per user). Every row shows Previously certified and a live Total to date beside the input, plus a helper line in this period's terms. Switching mode converts what's on screen without changing what's saved, and programme or cost prefill fills the right figure for the mode you're in. Impact: Claim the increment you actually built this month, and see the running total as you type. (1) The Enter claim as toggle, This period by default. (2) Type this period's figure and see the percentage and the running Total to date beside it. Improvements Purchase order picker shows approved POs first Before: Matching an invoice in the Invoice Register listed every PO, drafts and pending ones included, so it was easy to link an invoice to a PO nobody had approved. After: The picker shows approved POs by default, with a count of hidden draft and pending POs and a Show draft & pending POs toggle. If you do link an unapproved PO, an amber PO not approved badge appears on the row and in the KAI match panel, with a shortcut to open the PO and approve it. KAI only ever auto-matches approved POs. Impact: Invoices land against POs that have been signed off, and anything that hasn't is flagged before it goes further. (1) Show draft & pending POs, off by default. (2) A count of the draft and pending POs hidden from the picker. Every new user gets their invite email Before: Inviting someone to the workspace without ticking a project created their account silently. No email went out until someone clicked Resend Invite. After: Add New User now requires at least one project with Viewer access, and Create User stays disabled until one is ticked (the tooltip explains why). CSV imports flag any new user without an active project so the import can't run with a gap. Impact: Every invite you send actually reaches the person. (1) Project Access is now required, with a note that the invite email goes out with project access. (2) Create User unlocks once a project has Viewer ticked. The Company Directory switch now says what it controls Before: Users without View and Manage Company Directory saw "No people available" in transmittal, submittal and notice recipient pickers, and nothing explained why. After: The switch in Workspace Permissions, and the matching pill in the User Directory, now explain that it also controls seeing people when picking recipients or assignees. Impact: Admins know which switch to turn on when someone can't see the project team. (1) The View and Manage Company Directory switch now spells out that it covers recipient and assignee pickers. No marketing trackers inside the platform Before: Third party marketing scripts were loading inside the signed-in Deep Space web app, which security reviews rightly flagged. After: They're gone from the platform. Nothing about your projects or how you use Deep Space is sent to marketing trackers. Impact: One less question on your next security questionnaire. Fixes Send for Authorisation tells you why it's blocked Before: When an invoice would take a purchase order over its remaining balance, Send for Authorisation simply did nothing. After: The dialog shows the reason, the PO line, its budget, what's already claimed, this invoice and how much it's over by, with shortcuts to Raise a PO variation or Change match. Confirm & Send stays greyed out until the match changes. Impact: No more silent dead ends at the last step of invoice approval. (1) The reason the invoice can't be sent, with the PO line figures and the two ways forward. (2) Confirm & Send stays disabled until the match is fixed. PO timeline only says "Sent to Supplier" when it was Before: Approving a purchase order logged "Sent to Supplier, sent via email" on its timeline even when no email went out. After: The Sent to Supplier step appears only after a real send, with who it went to and when. Every timeline step now carries a date, time and user. Impact: The PO audit trail matches what actually happened. (1) Sent to Supplier only appears after a real send, with who it went to. (2) Every timeline step carries a date, time and user. Cost Forecasting defaults that add up Before: The default forecast to complete ignored manual spend such as direct costs and journals, and a carried forward figure wasn't reduced when new commitments landed. Lines were flagged "FTC over Remaining" for no real reason. After: The default forecast to complete is now what's left to spend, and carried forward figures nobody set by hand reset to that on rollover or Refresh from BR. Figures you entered yourself are kept and stay flagged for review. Impact: Forecasts that tie back to the Budget Register without manual clean up. Existing drafts update the next time you click Refresh from BR. (1) and (2) After Refresh from BR, carried forward figures nobody set by hand reset to what's left to spend, so FTC matches Remaining and the variance is zero. (3) A figure you entered yourself is kept and stays flagged for review. Finance Integrations stays current after a mapping save Before: After saving a Project Mapping change, the auto-create tracking banner and its Review and create list kept showing old numbers until you reloaded. If the Xero options call failed, the card spun forever. After: The banner and list refresh as soon as you save, and a failed Xero load shows the reason with a Retry button. Impact: What you see on the Finance Integrations page matches what's in Xero. Have feedback or ideas? Tell us through the feedback portal in the platform. We read every message.
