What Got Shipped Today - 23/10/26 - Numbered permits, Xero bank details sync, and a programme that names who's doing the work
23 October 2026 Features Every Permit to Work now has its own Permit Number "As an HSEQ lead with dozens of hot work permits open, I need to point fire watch checks and close-outs at the exact permit, not guess between them." Before: Permits had no number. Fire watch checks and close-outs had nothing to tie back to, and no DS Site form could list which permits were live. After: Every permit gets a Permit Number when it's captured (for example, PER0030002 is permit 2 on project 3). The number shows on the permit and in the register's new Permit No. column. Deep Space also publishes a live list of today's active permits to each DS Site channel, so any DS Site form can pick a permit from it. Impact: Fire watch checks, close-outs and inspections are tied to the permit they belong to, and the list keeps itself current every night. (1) The new Permit No. column in the Permits to Work register. Worker Details, right inside the User Directory "As a site admin, I want to open a worker and see their licences and induction records without leaving Deep Space." Before: View Details and Go To Worker sent you out of the Deep Space web app, so worker licences and compliance PDFs were out of reach. After: Directory, User Directory, Inductions now opens a native Worker Details page with verification, induction status and every document filed for that worker, plus an upload button. Impact: One place to check a worker is compliant before they step on site. (1) Verification and induction status at a glance. (2) The worker's licences and compliance PDFs, with upload. Bank details sync from Xero, with a change alert "As an accounts lead, I want subcontractor bank details to match Xero exactly, and I want to know the moment they change." Before: Bank details were keyed into Deep Space by hand and could drift from Xero, the file you actually pay from. After: A new Sync bank details from Xero setting sits under Contacts in Finance Integrations. Turn it on, preview the changes, then apply. Synced details are marked Managed by Xero, and any change from Xero is logged in Change history, alerts your Accounts users and shows a verify banner until someone confirms it. Impact: RCTIs and BCTIs always carry the bank details in Xero, and a changed account never slips through unnoticed. (1) The new Sync bank details from Xero setting under Contacts. Subbie Admins put their own crew on projects "As a subcontractor admin, I want to add my existing workers to a new project myself, without asking the builder." Before: Once a worker was added in the Subbie Portal, only the builder could change which projects they were on. After: From the Team tab, a Subbie Admin can assign an existing employee to more of the projects they can access. Impact: Crew management sits with the subcontractor, and builders stop fielding access requests. Safety numbers on the Monthly Project Report "As a PM, I want my monthly wrap-up to show SWMS, inductions and hours on site, not just cost and programme." Before: The Monthly Project Report carried no safety figures, so PMs re-keyed them from three registers. After: SWMS approved, inductions approved and hours on site (from sign-in and sign-out) are available on the report, each for This Month and To Date. Registers you don't use print "not captured", never 0. Impact: The report a PM signs now answers the first questions an MD asks. Improvements Block or warn on commitments before the Head Contract is executed "As a commercial manager, I don't want POs or subcontracts going out before our own contract with the client is signed." Before: Nothing stopped a commitment being issued on a project with no executed Head Contract. After: A new Commercial setting lets you choose Enforce (block), Warn (confirm first) or Off. Impact: Your commitment risk follows your contract position, by company policy, not memory. (1) The new Commitments before an executed Head Contract setting in Company Settings, Commercial. Timesheet rounding rule, carried through to Deputy "As a payroll officer, we pay to the next 15 minutes, so every to-the-minute entry has to be fixed by hand." Before: Rounding was fixed, and the Deputy export sent raw clock times, so rounded hours never reached payroll. After: Choose Nearest 15 minutes, Up to the next 15 minutes or No rounding for the whole workspace. The rule applies in the grid, the totals and the Deputy file. Export also warns you if any worker's week isn't manager-approved yet. Impact: The hours you pay are the hours Deputy receives, with no manual edits. (1) The new workspace Rounding rule in the Timesheets settings. Project Codes fill themselves in "As an admin, I want every new project to get the next code in our sequence without checking a spreadsheet." Before: Project Codes were typed in by hand, with no guard against gaps or clashes. After: Create New Project suggests the next code (year prefix plus the next number, such as 26001). You can still change it. Impact: Consistent, unique project codes from day one. (1) Project Code is generated automatically and stays editable. PO Name is now optional "As a project manager, I want to raise a PO fast without inventing a name for it." Before: Every PO needed a name before it could be saved. After: PO Name is optional. Leave it blank and the PO uses its PO number. Impact: One less field between you and an issued PO. (1) PO Name is optional and falls back to the PO number. Pick any workspace user as a meeting attendee "As a PM, I want to add anyone in the workspace to my meeting minutes, not just a short list." Before: Some workspace users showed "No users found" when added as attendees. After: Meeting Minutes attendees search across all workspace users, and choosing one fills in their company and email. Impact: Accurate attendee lists without retyping details. Fixes The programme shows subcontractor names, not IDs "As a planner, I need to see who's on each task at a glance." Before: On larger directories, the Construction Program's Subcontractor column could show a raw number instead of the company name. After: The column shows the subcontractor's name for every task. Impact: A programme anyone can read in a site meeting. (1) The Subcontractor column now shows company names. Deputy export respects timesheet overrides Before: A manager's override (for example, correcting a 20 hour shift to 8) didn't carry into the Deputy export file. After: The export uses the accepted, overridden hours. Impact: Payroll pays what the manager approved. Have feedback or ideas? Tell us through the feedback portal in the platform.
