What Got Shipped Today - 22/10/26 - Claims that know their reference date, No GST invoice lines, and a programme that keeps your tasks in view
Published: Thursday 22 October 2026 Today's launch window runs right around the Builder's Wheel: progress claims that know their reference date, invoices that match the supplier's paper line for line, a Construction Program you can actually navigate, and portals that let your clients keep their own house in order. Features Reference dates on Head Contract progress claims "As a contract administrator, I need every claim tied to the right reference date so it stands up under security of payment legislation." Before: The Head Contract held a claim day of the month, but progress claims never used it. Nothing warned you about an early claim or a second claim against the same date, and editing a claim date left the payment due date where it was. After: Every Head Contract progress claim now records the reference date it is made against, taken from the claim day in your Head Contract settings. A new claim defaults its claim date and reference date to the next cycle day, and the payment due date is calculated from the Head Contract payment terms and recalculated whenever you change the claim date. Warnings follow the contract's region: QLD and VIC flag a claim made before its reference date or a reference date already used, NSW flags a second claim in the same month, and NZ shows no warning. The Progress Claims register gains a Reference Date column with the same badges. Impact: Claims that are compliant by default, and due dates you never have to work out by hand. The reference date sits under the claim date, with a warning when a claim is made before it. Choose "No GST" on any invoice line "As an accounts officer, I need to mark GST-free lines on a supplier invoice so the totals match the paper and Xero." Before: Each invoice line in the Invoice Inbox could only be ex GST or inc GST. GST-free items such as fees or government charges had to be fudged or fixed later in Xero. After: Every line on a supplier invoice now offers three choices: ex GST, inc GST, or No GST. A No GST line is stored at face value with zero GST, mixes correctly with taxable lines in the invoice totals, and lands in Xero as a GST-free line. It works in the Invoice Inbox line table, the Invoice Register, Line Item Matching and the add-line form. Impact: Supplier invoices land in the platform matching the supplier's document, with no rework in accounts. Known limitations: Supplier invoices only for now. Subcontract claim lines will follow. Client portal users can organise their own subfolders "As a client representative, I want to file what I upload into my own folders rather than dumping everything in one place." Before: Client portal users could upload into a folder you shared with them, but could not create any structure inside it. After: When a client portal user's role includes Document Control and you have shared a folder with their company at Write, they can create subfolders inside it and upload into them. They can rename, move and delete only the subfolders their own company created, and only delete a folder once it is empty. Your folders stay untouchable, and Folder Details shows which subfolders a client created. Impact: Cleaner shared folders, with your clients organising their own uploads and fewer tidy-up requests landing on your team. * A subfolder created by the client inside a shared folder, with its own rename, move and delete actions.* Improvements A Construction Program that keeps your tasks in view "As a project manager, I need to see my task names while I scroll across the programme." Before: The task table and the Gantt scrolled sideways together, so task names slid off screen as soon as you moved along the timeline. After: The task table and the Gantt now scroll sideways on their own, with one shared vertical scroll so rows stay lined up. The # and Task columns are pinned, and the other columns slide under them. A trackpad swipe on the grid no longer sends you back a page, and the status legend no longer covers the scroll bars. Impact: Long programmes are easier to read and navigate without losing your place. * The Task column stays pinned while the rest of the table and the Gantt scroll independently.* SWMS Register reads at a glance "As an HSEQ manager, I need to read a SWMS title and see where reviews stand without opening every record." Before: Register columns were cut to one line, so titles, trades and company names read as "Watertight - S...", and the summary cards all looked the same. After: Cells now show their full text. The Total, In Review, New and Rejected summary cards are colour filled in blue, amber, green and red, in every workspace. Impact: Faster SWMS reviews with fewer clicks. * Colour-coded summary cards for Total, In Review, New and Rejected SWMS.* Three new default Project Team roles "As a project director, I want my design manager, services manager and QS named on the project like everyone else." Before: Project Team settings had no slot for these roles. After: Design Manager, Services Manager and Quantity Surveyor are now default roles in Project Settings, Team, and can be assigned like any other team role. Impact: The whole project team is visible and assignable in one place. Fixes Tender portal "Download all" tells you if anything is missing On very large tender sets, Download all could silently skip files. It now retries any file that fails, and if a file still doesn't come down it shows a warning listing the missing documents, each with its own Download button. * The warning lists any documents that did not download, so nobody prices from a partial set.* Photos in email replies now show on the notice timeline Photos sent in the body of an email reply to a notice (iPhone Mail does this by default) now appear on the notice Activity as previews, with a full-screen viewer. Signature logos and images from the quoted email are tucked away, one click from view. * Photos from an email reply show as previews on the notice timeline.* Archived companies stay archived after a Xero sync A company you archive in the Directory is no longer re-created by the Xero contacts sync.
