What Got Shipped Today - 12/10/26 - Photo reports in two clicks, Price TBC purchase orders, and clients who can run their own document control

Published: 12 October 2026 Features Your client can upload, revise and register documents from the portal User Story As a builder working with a client-side design manager, I had to upload every revision they sent me myself, so I can now let them file their own drawings straight into the folders I share with them. Before Client users could view shared folders, but every new drawing or revision came back to the builder by email to upload by hand. "Upload New Version" showed for clients but did nothing. After Client users holding the Document Control permission can Upload, Upload New Version, Promote to the Document Register, Edit details, Rename and Archive, but only in folders their company has been shared at Write. In the portal Document Register they get Upload revisions and Edit details on writable rows, and rows they cannot change are marked "Read-only for your company". Upload New Version on a registered document now opens Upload Revision, so the register revision moves up (for builders too). Impact The person who produces the drawing files it. Your document controller stops being a relay, and the register shows who registered what. Known limitations Turn on Document Control on the client's role and share the folders at Write before they will see these actions. Subcontractors keep Promote only. (1) Client users with Document Control get Upload in folders shared to their company at Write. (2) Upload New Version is available on each file. (1) In the portal Document Register, rows the client can change get Upload revisions and Edit details. (2) Every other row is locked as read-only for their company. Meeting minutes templates for each type of meeting User Story As a client representative running a weekly RFI meeting and a monthly PCG, I rebuilt the same headings and distribution list every time, so I can now start each set of minutes from a template. Before New minutes started blank or as a copy of the last set, and the agenda, headings and attendees were set up by hand. After A Templates button in portal Minutes lets you add, edit, rename and delete a template per meeting type, with sections, agenda items and default distribution. New minutes offer "Use the template", "Start from previous" or "Blank", and default to the template when one exists. Impact Every RFI meeting and PCG meeting starts with the same structure and the right people on the list, so the minutes are consistent from week one. (1) Each meeting type gets its own template. (2) Default attendees and distribution. (3) Standing sections and agenda lines that every new set of minutes opens with. (1) When a template exists for the meeting type, New minutes starts from it by default. Bulk select site photos, download them, or export a PDF photo report User Story As a site manager preparing a dilapidation report, I picked photos one at a time and pasted them into Word, so I can now select a whole day or the whole album and export a finished report. Before Site Photos had no bulk selection. Turning photos into a client report meant downloading them one by one and laying them out yourself. After Select all, Select day, or Ctrl+A selects every photo in the view, including ones not yet scrolled into view. From the toolbar, Add to album, Download the originals as a zip, or Export photo report: an A4 PDF at 1, 2 or 4 photos per page, with project and exporter in the header, upload time and uploader under each photo, and page numbers in the footer. The lightbox now shows the uploader's name. Impact A photo report that used to take an afternoon of copy and paste comes out of Deep Space in a couple of minutes, in the same format every time. (1) Bulk actions appear once photos are selected: Add to album, Download and Export photo report. (2) Export photo report lays out 1, 2 or 4 photos per A4 page. Observations by Type on the HSEQ Dashboard User Story As an HSEQ manager reporting monthly figures, I opened every inspection to count observations by type, so I can now read the breakdown straight off the dashboard. Before The HSEQ Dashboard counted inspections, not what they found. Monthly observation figures meant opening each inspection record. After A new Observations by Type card counts site inspection observations per type for the project and a chosen period (this month by default), including inspections raised on your own linked inspection forms. Observations submitted without a type show as "Unspecified". Impact Monthly HSEQ reporting comes from one card, and you can see at a glance where the risk is concentrating. (1) The new Observations by Type card counts observations per type for the chosen period, with a total across inspections underneath. Price TBC purchase orders: get the order number now, price it from the invoice User Story As a site lead buying at the trade counter, I needed a PO number before I knew the price, so I can now raise a $0 Price TBC order and let the supplier invoice set the value. Before A PO could not be saved at $0, so teams raised $1 placeholders and trued them up by hand with a variation once the invoice arrived. After Tick Price TBC on a new purchase order and $0 lines save, the PO gets its number straight away, and it can go for approval. The PO Register shows a Price TBC badge and a "Price TBC only" filter. When the first supplier invoice is converted in the Invoice Register, the PO is priced automatically through an approved variation and the marker clears. Committed cost stays at $0 until then, and the PO is held back from Xero until it is priced. Impact Counter purchases get a real order number without guessed numbers in committed cost, and nobody has to remember to true up a placeholder. Known limitations Automatic pricing runs on Invoice Register conversion only. Invoices entered through the manual claim form or pulled in from Xero do not trigger it. (1) Tick Price TBC on a new purchase order to raise it at $0 and get its number now. It is priced from the first supplier invoice. Export the User Directory, edit it in Excel, and import it back User Story As a workspace admin onboarding a new crew, I could only import a three-column file and rejected my own export, so I can now round-trip the whole directory through a spreadsheet. Before Import CSV only accepted Full Name, Email and Workspace Role, so the file from Export CSV was rejected. After Import CSV now takes the Export CSV file. Users are matched by email: new emails are invited, existing users change only where a cell differs, blank cells are left alone, and project access is only ever added. A preview shows every row as New, Update, Unchanged or Error with old and new values, and any error blocks the run. It updates Role, Position, Department, Workspace Manager, Dashboard Viewer, View and Manage Company Directory, Workspace Member and Project Names, and catches unknown roles, departments and projects, likely email typos and files not saved as UTF-8. Impact Bulk changes to who can do what take one file and one preview, not a morning of clicking through user records. Known limitations Department values must already exist in Company Settings, Departments. Names, Company, Status and DS Site access are flagged when different but not changed by the import. Nudge invited subcontractors in bulk from the bid package User Story As an estimator chasing prices before close, I followed up each subcontractor one email at a time, so I can now nudge everyone who hasn't opened or downloaded the package in one go. Before Following up a bid package meant writing individual emails outside Deep Space and keeping track of who you had chased. After Tick invitees, or pick a group by response state (Not opened, Not downloaded, Undecided, Everyone) with live counts, write one line, preview the email, and Send nudge. The email goes out in your name with the portal link, replies come to your own inbox, and the send is logged in the package Activity. Impact Chasing a package takes a minute, and you know exactly who has been followed up. Improvements Filter Project Documents by type, source, version, uploader and date User Story As a document controller, I could only search by file name in Project Documents, so I can now filter the Explorer the way I filter the registers. Before The Explorer list had a filename search and a file-type chip, and nothing else. After A Column/Filter panel, the same one the Invoice and Budget Registers use, filters by Type, Source, Version, Uploaded by and Uploaded date, with counts on each value. Applied filters show as removable chips and the file count follows them. Impact Finding "everything the architect uploaded last week" is a filter, not a scroll. The Document Register header stays put as you scroll Before On long registers the column headings (Document Number, Title and the rest) scrolled away with the rows. After The header stays pinned at the top, follows the columns sideways, and sorting still works while it is stuck. The portal Document Register gets the same behaviour. Impact You always know which column you are reading, however far down the register you are. DS Site shows drawings by number, revision and title User Story As a site worker opening the Document Register in DS Site, I saw storage file names instead of drawing numbers, so I can now find the drawing I need by its number. Before Each line in the DS Site Document Register showed the stored file name, entries were in upload order, and a revision with a different file name could appear as a second line. After Each drawing shows as its Document Number, Revision and Title, ordered by drawing number, and a new revision updates its existing line. Existing registers have been refreshed. Impact Site teams find the right drawing at the current revision without guessing which file is which. Hide pending variations from the head contract Schedule of Values Before Submitted head contract variations listed in the SOV Preview on the Head Contract register before they were approved. After A new setting in Company Settings, Commercial, "Hide pending variations in the HC Schedule of Values", keeps submitted variations out of the SOV Preview until they are approved. It is off by default. Impact The SOV you show and review reflects agreed scope only. No figures change: the Revised Contract Value never included pending variations, and claims and payment schedule documents are untouched. Subcontract SoV: cost codes from this project, and totals that hold still while you type Before The SoV cost code picker offered the whole workspace catalogue, and the Calculated Totals cards jumped on every keystroke. After The picker now offers this project's Budget Register codes, defaulting to the ones on both the budget and the programme task, with a "Show all cost codes" toggle. Totals update when you finish a line (on blur, Enter or Tab), and "Remaining to allocate" shows beside the line you are editing. Impact Fewer wrong codes on subcontracts, and you can see what is left to allocate while you build the SoV. Partial uploads keep the sheets you held back Before In Upload revisions, uploading the ready sheets closed the window and dropped every sheet still waiting to be sorted. After A partial upload moves only the uploaded sheets out and returns you to the match board. The window closes only when nothing but skipped sheets is left, and skipped sheets keep their Undo. Impact On a 50-sheet set you can upload what's ready and come straight back to the rest. 2D Takeoff shows names and drawings, not raw IDs Before Item details showed the Responsible Person and Cost Code as raw IDs, and there was no way to see which drawings an item was measured on. After Item details show the person's name and the cost code with its name. A new Linked drawings card lists the item's measures per drawing (number, revision, page, quantity), and each opens the measuring workspace on that shape. Panels can be resized. Impact Estimators can trace a quantity back to the drawing it came from in one click. Sign In and Sign Out QR codes are spaced apart Before The two site QR codes sat close together, so a phone aimed at one often read the other and signed a worker out instead of in. After Each code has its own bordered panel with a bold label and a full code width of clear space between them. Download on each code prints it on its own A4 page. Impact Fewer wrong scans at the gate and cleaner sign-on records. (1) Sign In and (2) Sign Out codes now sit in separate panels with clear space between them, so a phone reads the one you aim at. Fixes Contract sums now always match the original sum plus approved variations Head contract and subcontract contract sums could drift from the revised value over time. The contract value is now calculated from the Original Contract Sum plus approved variations. Edit forms let you change the Original Contract Sum, and show the Current Contract Sum as read-only. Existing contracts have been brought into line. POs no longer show a false overspend on inc-GST invoices When a supplier invoice printed no pre-tax total, the PO Register counted the GST-inclusive amount as invoiced to date, so the PO looked overspent by the GST. Invoiced to date now uses the ex-GST amount. The HSEQ Dashboard Inspections card matches the Site Inspections register Inspections submitted on your own linked inspection forms were counted by the register but missed by the dashboard. Both now count the same records. Move documents lists folders in the same order as the Explorer The Move documents dialog listed folders unsorted and offered the folder you were already in. Folders now sort like the Explorer tree, and the current folder shows greyed out as "Current folder". Register as new in Upload revisions uses the same, clearer picker. BoQ imports leave TOTAL and subtotal rows out A cost plan import could bring its TOTAL rows in as items and multiply the estimate. Total and subtotal rows that reconcile with the rows around them are now left out by default, and you can see and change that in the review step. "Programme this week" on Home opens the task's own project Clicking a task in the Programme this week widget opened the programme of whichever project was selected in the header. It now opens the task's own project and focuses the task. My Actions had the same problem and is fixed too. Supplier profiles in the Company Directory open again Some supplier profiles crashed on open when the supplier had no performance ratings. Missing ratings now show as "--". Bid attachments from promoted quotes download again Attachments on bids promoted from a quote returned an error on download and could not be copied into documents on award. They now download and copy. Bid files that are no longer stored now say "No longer available" instead of failing silently, and tender portal uploads are capped by file size and count. Subcontract payment schedule retention matches what was actually held The Cash Retention row on the subcontract payment schedule document could show a calculated figure instead of the retention recorded in earlier periods. It now uses the recorded retention, so the document reconciles with the held balance. The Invoice Inbox project filter is readable The selected project name in the Invoice Inbox filter was cut off at the bottom. It now shows in full. The subcontractor portal Document Register keeps its search bar On longer registers the search and filter bar in the subcontractor portal Document Register collapsed to a sliver, and rows past the fold were clipped. The bar keeps its height and the table scrolls. Got feedback on any of these? Tell us through the feedback portal in the platform. We read every one.
