What Got Shipped Today - 2/10/26 - Notices start pre-filled, clients write their own minutes, and approvers see the budget before they sign
Published: Friday 2 October 2026 Features Notice templates: default recipients and starting text for every notice type As a contract administrator, I retyped the same distribution list and the same question structure on every RFI and CI, so I can now set them once and start every new notice already filled in. Before Every new notice opened blank. Recipients were picked one by one and the body was rebuilt from memory or copied from the last notice. After Under Notices, open Templates and save default recipients (To and FYI, including one-off external emails) and starting text for each notice type on the project. A fresh + New notice of that type opens pre-filled with a banner saying so. Everything stays editable, and Clear empties it in one click. Each organisation keeps its own templates: a client's templates in the portal never reach the builder, and the builder's never reach the client. Impact The routine part of raising a notice takes seconds, and the right people are copied every time because nobody has to remember them. In the screenshot: (1) the banner confirms this RFI was pre-filled from your template, (2) your default recipients are already added, and (3) the question opens with your standard headings, ready to fill in. Clients can write and issue their own meeting minutes in the client portal As a client representative, I ran our own project meetings but had to keep the minutes outside Deep Space, so I can now record, issue and distribute them from the client portal. Before Client-run meetings were minuted in Word and emailed around. The builder only saw them if someone forwarded the PDF. After The client portal now has a Meeting Minutes tab under Delivery. Clients record attendees (attended or distribution only), write numbered sections and items, export a DRAFT PDF to review, then issue. Issuing numbers the minutes per meeting type (for example "RFI meeting #1"), locks them, and emails the PDF to every attendee. Start from previous carries attendees, location and section headings into the next meeting. On the builder side, issued client minutes appear read-only on a new From client tab of the Meeting Minutes page, with the PDF. Impact Client meetings stop living in inboxes. The builder gets the issued record the moment it goes out, in the same place as their own minutes. In the screenshot: (1) each attendee is marked as Attended or Distribution only, (2) the minutes are written as numbered sections and items (1.1, 1.2), and (3) Issue numbers and locks the minutes, then emails the PDF to every attendee. Known limitations: switched on per client role. Ask your Deep Space contact to enable Meeting Minutes for your client's portal role. Visitor sign-in on DS Site, without the site induction As a site manager, I had visitors who were turned away at the sign-in QR because they had not done the full site induction, so they can now sign in as a visitor and still appear in the register. Before The only sign-in form required a completed site induction. Short-stay visitors either skipped signing in or were pushed through an induction that did not apply to them. After A project can now have a Visitor Sign In QR alongside the worker sign-in. Visitors sign in on DS Site with no induction dependency, land in the Site Sign On register flagged as Visitor with Induction Status "Not required", and sign out through the normal Sign Out form. Impact Every person on site is on the register, including the ones who are only there for an hour. Known limitations: the visitor form is set up per DS Site channel by the Deep Space team. Ask your Deep Space contact to add it to your project. Budget position on the purchase order approval screen As an approver, I approved purchase orders without seeing whether they blew the cost code, so I can now see the budget impact before I approve. Before The PO approval panel showed the amount and the supplier. Checking the budget meant leaving the approval, opening the Budget Register and doing the maths. After PO approvals in My Approvals now carry a Budget position block for every cost code on the PO: revised budget, committed, other pending, this PO, and what remains after approval. A clear flag shows when approval takes the code over budget, when it is already over, or when no budget has been allocated. The same block appears on the PO's Issues & Approvals tab while it is pending. It is display only and never blocks the approval. Impact Approvers make the call with the numbers in front of them. Overruns get caught at approval, not at month-end. In the screenshot: (1) the approver sees the cost code's revised budget, what is already committed or pending, the value of this PO, and what would remain after approval. This PO would take the cost code over budget, so it is flagged in red. Upload documents straight into a tender set As an estimator building a tender set, I hit an empty CDE folder and had to leave the tender to upload, so I can now upload and create folders without leaving the picker. Before An empty folder in Add Documents from CDE was a dead end. You left the tender, uploaded in CDE Explorer, came back and started the selection again. After The picker now has an Upload button (using the same upload as CDE Explorer) and can create folders. New files are selected automatically once they finish uploading, ready for the tender set. Impact Tender sets get built in one pass, with no lost selections. In the screenshot: (1) upload files straight from the picker once a folder is open, (2) create a new folder without leaving the tender, and (3) uploaded files appear here, already selected for the tender set. Every quote received on a project, grouped by trade, on the Subcontract Register As a project manager taking over from the estimating team, I could not see the quotes that came in during tender, so I can now see every quote on the project by trade from the Subcontract Register. Before Quotes received during tendering stayed in preconstruction. The delivery team had to ask estimating for them. After The Subcontract Register now has a Subcontracts | Quotes tab bar. Quotes lists every quote received on the project, grouped by trade and collapsible, with the subcontractor, package, file, received date, amount and a link to open the PDF. Awarded quotes are badged, and superseded quotes are greyed and sorted last rather than hidden. Impact The handover from estimating to delivery carries the pricing evidence with it. In the screenshot: (1) the new Quotes tab on the Subcontract Register, (2) every quote received on the project, grouped by trade with a count, and (3) Open shows the original quote PDF. Known limitations: needs cost access on the project. Improvements Resize Invoice Register columns, saved per user As an accounts user, I could not widen the columns I actually read, so I can now drag them to the width I need and they stay that way. Before Invoice Register column widths were fixed. After Drag any column border to resize it. Your widths are saved to you and come back next time, the same as the Budget Register. Impact The register fits the way you read it. "Issue NTS to sub" and "Issue Site Instruction" open with the instruction already filled in As a contract administrator passing a client instruction down to a subcontractor, I retyped the instruction, so I can now pass it on with the text already carried over. Before Both actions opened with an empty Instruction field. After The subject and the full client instruction are pre-filled, ready to edit before issue. Category stays blank by design, because client instruction categories are not the same list. Impact Instructions reach subcontractors faster and word for word. Extension of Time notices fill the practical completion dates for you As a contract administrator raising an EoT, I typed the PC dates by hand and did the date maths myself, so I can now let the head contract and the days claimed do it. Before Selecting a head contract left the Original PC date blank, and the revised date had to be worked out manually. After Picking the head contract fills Original PC date from the contract. Proposed revised PC date is calculated from the days claimed. If you change the original date, a soft note tells you it differs from the contract, without blocking the notice. Impact Fewer date errors on a notice where dates are the whole point. In the screenshot: (1) the original PC date is filled in from the head contract, and (2) the proposed revised PC date is calculated from the days claimed (10 days here). Responses to a notice now email the issuer and the assignee As the person who issued a notice, I had to keep checking for a reply, so I am now emailed when the response lands. Before A response was recorded in Deep Space but nobody was emailed. After When a response arrives (in the portal or by email), the issuer and the assignee get a "Response received" email with the reply excerpt and a link straight to the notice. Anyone already on the reply is not emailed twice. Impact Responses get actioned the day they arrive, not the day someone remembers to look. Choose GST inclusive or exclusive on each invoice line in the Invoice Inbox As an accounts user, I received invoices that mixed GST-inclusive and GST-free lines, so I can now set the GST basis line by line. Before New line items added in the Invoice Inbox had no GST choice. After Each line has an Inc GST / Exc GST selector, and the totals follow it. Impact Mixed invoices are entered correctly the first time. Fixes Trades awarded to different subcontractors convert to their own subcontracts On a multi-trade tender, a trade won by one subcontractor could not be converted: the conversion preview rejected it. Each awarded trade now converts on its own, with the award value, the schedule of values and the losing bidders scoped to that trade, and one subcontract per trade. In the screenshot: (1) Carpentry is awarded to Delta Contractors and (2) Roofing to Gamma Roofing, both from the same package. Each awarded trade has its own Convert to SC/PO button. Confirming a trade split on a submitted bid saves Saving a split for a bidder who gave one headline price was always rejected. It now saves, and the split must add up to the headline before Save is enabled. Bids with only a headline price also have a clear Split by trade entry point. In the screenshot: (1) the split is checked against the bidder's headline price (here it is $20,000 over), and (2) Save split stays disabled until the trades add up to the headline. Adding a BOQ item tells you which field is missing On a new BOQ, Add Item failed with a warning that did not say why. It now names the missing cost code (and a cost code with no budget category) and blocks the add until it is fixed. In the screenshot: (1) Cost Code is now marked as required, and the message explains why: the budget category comes from the cost code. PO approvals show the PO number Approvals were titled with the supplier's internal id, so many read "PO 26". They now show the PO's own number. Variation revised contract sum includes previously approved variations The revised contract sum on a head contract variation now adds previously approved variations, so the figure matches the contract. Variation notices show their approval deadline, and "today" means today Head contract variation notices now show their time-bar from "Approval required by" instead of "no due date". The notice register also counts age on your local calendar, so a notice issued this morning reads "today", not "yesterday". The notification bell shows the notice number Notice notifications now show the notice reference (for example RFI-0045) instead of an internal id. Lessons learnt save in the Company Directory Adding or deleting a lesson learnt on a subcontractor failed silently. It now saves, and tells you if it ever cannot. Drag to reorder rows in the SOV Builder The drag handle in the Schedule of Values builder now reorders rows, on both head contracts and subcontracts. The Tender Set section picker shows document names Document names now show on the Sections step, and the Tender Documents card counts documents added through tender sets.
