What Got Shipped Today - 30/9/26 - Estimate items flow through to your commitments, programme PDFs land in Project Documents, and tender invites get sharper

Published: 30 September 2026 Wednesday, and a heavy payload cleared the pad. The estimate now travels all the way to the subcontractor's claim, the programme files itself where your subbies can find it, and tendering got a run of upgrades that make the shortlist, the invite and the award faster to fly. Features Estimate items now flow through to the Budget Register, Purchase Orders and Schedules of Values "I priced this project line by line. When I raise the PO or build the subbie's schedule, I want those lines, not one lump per cost code." Before: The estimate rolled up into the Budget Register by cost code, and the line-item detail stopped there. Loading a PO from the Budget Register gave you one line per cost code, and a Schedule of Values had to be rebuilt by hand. After: The Budget Register has a new Estimate items switch. Turn it on and each cost code expands to show the BOQ items behind its Original Budget (description, qty, unit, rate and amount), with a link back to Estimation. They are for viewing only and never change totals, filters or exports. When you add PO lines from the Budget Register, tick Populate from estimate line items to bring in one line per estimate item, untick any you do not want, and adjust qty, rate or description before adding. In a subcontract, Import from Budget Register now lets you pick individual estimate items or one line per cost code, and Schedule of Values lines carry Qty, Unit and Rate. Subcontractors can then claim by quantity completed, with the amount worked out as qty x rate. Every PO and SOV line built this way shows the estimate qty, rate and amount it came from, plus how your committed rate compares (red when you are paying more than estimated, green when less). In Estimation, each BOQ item has a Committed on section listing every PO and subcontract line that uses it. Impact: The estimate stops being a document you leave behind at award. You can see exactly where every estimated item has been committed and whether you bought it above or below the rate you priced. Screenshot: the Budget Register with Estimate items switched on. 1. The Estimate items switch. 2. The estimate items behind a cost code, each with its qty, unit and rate. Known limitations: The switch starts off each time you open the register. Certification is still entered as a value (claiming is by quantity). Lines keep the estimate figures from when they were created, so a later estimate change does not update an existing PO or SOV. Save programme and Weekly Work Plan PDFs straight into Project Documents "Every week I export the programme, then upload it somewhere the subbies can see it. Two steps for one outcome." Before: Programme and Weekly Work Plan PDFs could be exported or printed, then had to be uploaded to Project Documents by hand before anyone else could see them. After: Save to Project Documents now sits in the Construction Program menu (under Export PDF) and on the Weekly Work Plan toolbar, and Publish Programme has an Also save a PDF to Project Documents checkbox. Pick a folder and the PDF is filed there. If that folder is not shared with subcontractors, you are told before you save, with the choice to save anyway or pick another folder. Your last folder is remembered for next time. Impact: The latest programme is where your subcontractors look for it, in one click, and it can be attached to contract documents from there. Screenshot: saving a programme PDF from the Construction Program. 1. The warning that the chosen folder is not shared with subcontractors, with Choose another or Save anyway. Known limitations: Saving twice on the same day adds a new revision of the same document rather than a separate file. Build your tender invite list by trade, service region and tender rank "My directory has two thousand companies. I need the right twenty on screen in seconds, with my preferred subbies at the top." Before: The tender package invite screen had none of the filters from My Directory, and nothing told you which subcontractors the business prefers to tender with. After: The invite screen now opens with its filter row showing: Trade, Region (head office), Service region and Tender rank. Filters stay set as you move between trade packages in the same send-out. Each directory company can be given a Tender rank of 1 (preferred) to 3, set right from the invite list, and the list sorts by rank, then favourites, then name. Impact: Your shortlist comes together in seconds, it reflects who the business wants to build relationships with, and a Perth head office that services the South West is no longer filtered out. Scrub through Site Photos by day "Show me what the slab looked like the week before the pour. I do not want to scroll through three months of photos to find it." Before: Site Photos were one long grid with no easy way to jump to a date or narrow the view to a range. After: All Photos and every album now group photos by upload day, with a pinned day heading as you scroll. A timeline bar shows how many photos landed each day. Drag across it to show a date range, click a single day, use the quick ranges such as Last 7 days, or type a date into Jump to. A month rail on the right scrolls you straight to earlier months, and Select day ticks every photo from that day so you can add them to an album in one go. Impact: Finding the photos from a specific day on site takes a click, not a scroll. Screenshot: All Photos grouped by upload day. 1. The timeline bar, quick ranges and Jump to. 2. A day heading with Select day. Known limitations: Days follow the viewer's own time zone. Improvements Import from MS Project, right on the Construction Program toolbar Before: The only way to import an MS Project file was buried in the "..." menu, next to Clean Project and Delete All Tasks, and a brand new programme only pointed you to Add WBS. After: Import MS Project now sits on the main toolbar beside Add Task and Add WBS, and an empty programme offers Import from MS Project alongside Add WBS. Impact: Bringing an existing programme in is the first thing you see on a new project. Screenshot: a new, empty Construction Program. 1. Import MS Project on the main toolbar. 2. Import from MS Project in the empty state. Award the recommended bid from the top of Bid Comparison Before: Awarding a bid and converting it to a subcontract or PO meant finding a small chip in the Actions column at the bottom of a long page. After: Bid Comparison now has a primary Award recommended bid button in its header, showing the recommended bidder and their total. The arrow beside it lets you award a different bidder instead. The row-level Award buttons are still there. Impact: The hand-off from tendering to commercial is the most obvious action on the page. Screenshot: the Bid Comparison header. 1. The Award recommended bid button with the recommended bidder and total. 2. The menu to award a different bidder instead. Choose when a subcontractor hears they have been assigned Before: Assigning a subcontractor to a programme task emailed them straight away, inside the same save, even while you were still arranging the programme. After: Assigning or changing a subcontractor, from the task panel or the Gantt cell, now asks Notify the subcontractor now? Choose Notify now to send the booking as before, or Save without notifying to keep the booking pending with nothing sent. Send reminder on the task panel covers it when you are ready. Impact: You decide when subcontractors hear about their bookings, so a draft programme never sends a wave of emails. Screenshot: the prompt after assigning a subcontractor to a task. 1. Save without notifying, or Notify now. Liquidated damages cap, calculated the way your contract states it Before: The head contract form labelled the liquidated damages cap as "Delay damages cap", and it only took a dollar figure. After: The field now reads Liquidated damages cap, and you choose how it is set: a percentage of the original contract sum, a percentage of the adjusted contract sum (including approved variations), or a fixed amount. Existing contracts keep their dollar figure. Impact: The right figure lands in the right field, set to match your contract wording without a side calculation. Screenshot: the head contract form. 1. Liquidated damages cap, with the basis (percentage of the original or adjusted contract sum, or a fixed amount) and the value. Payment Due on supplier invoices Before: KAI read the due date from a supplier invoice, but the Invoice Register had nowhere to keep it. After: Supplier Invoices in the Invoice Register now have a Payment Due field. Impact: The date you owe the supplier is on the invoice record, not just on the PDF. Screenshot: a supplier invoice in the Invoice Register. 1. The new Payment Due field, filled from the due date KAI read on the invoice. See which act applies on a head contract progress claim Before: The head contract carried a Security of Payment state, but the progress claim did not show which act was in force. After: The head contract progress claim drawer now shows the act that applies to the claim. Impact: You can confirm the right legislation is driving your claim without opening the head contract. Screenshot: a head contract progress claim. 1. The act that applies to the claim, here NZ CCA 2002. One live bid per subcontractor in Compare Bids Before: A subcontractor could end up with two live bids on one package, for example when two of their contacts both submitted through the tender portal, and both appeared in Compare Bids as if they were separate bidders. After: Every way a bid arrives (the tender portal, recording a bid on a subcontractor's behalf, or promoting a quote) now uses the same rule to decide which company it belongs to. A second bid from the same company replaces the first, which is kept in that submission's history rather than shown as another column. Promoting a quote from a company that was not invited asks you to add them to the invite list first. Impact: One company, one figure. The screen you award from can be trusted. Unit rates to four decimal places, and GST that adds up to the cent Before: PO and invoice lines held unit rates to two decimal places, so rate-based purchasing could drift from the supplier's invoice. GST-inclusive invoice lines were rounded one by one before being added up, so the ex-GST total and GST could be out by a few cents. After: PO and invoice lines accept unit rates to four decimal places, and GST-inclusive lines are rounded once, on the total. Impact: Rate-based orders and invoices reconcile to the cent. Screenshot: a purchase order line priced by unit. 1. A unit rate entered to four decimal places, with the line total worked out from it. Notice PDFs name the project, and client-issued notices follow the client's own conventions Before: The notice PDF header did not show the project name. Notices your client issues through the Client Portal used standard type names and numbering. After: Every notice PDF header now names the project. A client organisation can also be set up with its own notice type name (for example Contract Instruction), its own reference number width (for example 001), and the contract it issues under printed on the notice. Impact: Every notice is identifiable at a glance, and notices from your client look like the documents they already issue. Fixes Folder views show every file, not just the first 100 Explorer and Company Documents folders with more than 100 files quietly stopped at 100, so files beyond that seemed to be missing. Folders now load every file, and long lists load as you scroll. The Weekly Work Plan no longer shows a Sync with Lookahead button that did nothing The Sync with Lookahead button on the Weekly Work Plan toolbar had no effect. It has been removed, along with the User Guide steps that pointed to it. Screenshot: the Weekly Work Plan toolbar. 1. Filter, Save Plan, Save to Project Documents and Print, with the old Sync with Lookahead button removed. Got feedback on any of today's updates? Tell us through the feedback portal in the platform.
