What Got Shipped - 24/9/26 - Subbies run their own SWMS, inductions and signatures from the portal, and a won project moves itself into Delivery

25 September 2026 Features Subcontractors build their own project SWMS, and can see who has done it User Story As a subcontractor admin, my crew can't sign on to site without our SWMS for that project. I had no way to put one in front of them, and no way to see who had done it until someone got turned away at the gate. Before Builders could bind a SWMS to a project. Subcontractors could not create their own, and nobody on the subcontractor side could see who in their crew had completed it. After The subcontractor portal has a new SWMS tab, scoped to the project. A subcontractor admin creates their company's SWMS for that project right there: name it, add the questions (short text, long text, single choice, multiple choice, date) and save. The platform turns it into a DS Site form tied to that project, which site sign-in checks before the crew gets on. The same tab lists the company's workers and shows who has completed it and who has not, with a link to each submission, a QR code for the form, and a way to email the link to anyone still outstanding. When the SWMS changes, replace it from the same tab. Impact The site-gate surprise becomes something the subcontractor sorts out the week before, on their own screen. Trades own their SWMS, the builder sees it enforced at sign-in, and "we didn't know" stops being an excuse. Create your SWMS in the subcontractor portal. Name it, add the questions your crew answers, pick the answer type, and save it to the project. Known limitations The question set is deliberately lean. There is no signature field. The submission records who submitted it and when. Subcontractors sign their contract inside the portal User Story As a subcontractor signatory, my contract arrived as a link buried in an email. The portal had my POs and subcontracts, but I couldn't actually execute anything from it. Before Subcontracts sent for execution went out only as an emailed signing link to the nominated signatory. After A subcontractor can now execute a subcontract from inside the contractor portal, using the same signing flow as before. The signer's printed name is captured at signing, so the executed document carries the name of the person who actually signed it. Impact One place for the trade to see the contract, sign it and move on. For builders pushing their trades onto the portal, execution no longer leaks back out to email. Subcontractor admins send project inductions to their own workers User Story As a subcontractor admin, I know which of my workers are starting on a project, but only the builder could send them the induction. The site manager ended up chasing my crew, and I had no view of who had done it. Before Only the builder could start a project induction, so the builder did all the chasing. After The subcontractor portal has an Induction tab, and a Send Induction action on the Team page. A subcontractor admin sends the project induction to their own workers and can see where each one is at, using the same induction the builder already set up for the project. Impact The people who know who is coming to site are the ones making sure they are inducted. The builder gets inducted workers at the gate instead of a chase list. The Team page in the subcontractor portal. Send Induction sits against each worker, so the subcontractor admin gets their own crew inducted. The Induction tab in the subcontractor portal. The admin sees who is inducted and who is not, and sends the project induction to everyone outstanding in one go. Portal companies put their own logo on the notices they issue User Story As a client's project manager issuing an instruction from the client portal, my notice went out headed with the builder's logo, so to the builder it read like one of their own. Before Every notice email and PDF carried the workspace owner's logo, whoever issued it. After Clients, consultants and subcontractors can upload their company logo from the Branding tab in the portal. Notices they issue carry that logo on both the email and the PDF, including when the notice is forwarded or chased. Builder-issued notices are unchanged. A portal company that has not uploaded a logo sends notices with no logo, never someone else's. Impact A notice looks like it came from the company that issued it. On a contractual document, that is not cosmetic. The Branding tab in the subcontractor portal. Upload a logo once and it heads every notice the company issues, on the email and the PDF. Known limitations PNG and JPEG only, up to 5 MB. Some Outlook setups may not display the logo in the email body yet; the PDF is unaffected. Transmittals and submittals sent from the portal still use workspace branding. Improvements A won project moves itself into Delivery Before Winning an opportunity left the project sitting on Tender (or Opportunity) until someone remembered to change it by hand in Project Settings. The Delivery and HSEQ dashboards stayed locked on the project card, and anything grouped by stage under-reported what was really in delivery. After Moving an opportunity into a won stage, from the board or the detail view, or marking its tender as won in the Tender Tracker, advances the project to Delivery automatically. It works with renamed stages, it never demotes a project already in Delivery or DLP, and it never touches an archived project. The project picker now shows each project's live stage, and archived projects now read as archived in Project Settings. Impact The moment you win the project, the platform treats it as a live project. Dashboards unlock, stage filters and the WIP report tell the truth, and there is one less manual step between award and site. Deal Owner: any team member, more than one, and searchable Before Only people holding a role named exactly "Estimator" could be a Deal Owner. On a workspace without that role, the picker was empty. It was single-select, with no search and no role shown. After Anyone in the workspace who holds a role can be a Deal Owner, on both the create screen and the opportunity detail. An opportunity can have several owners. The picker searches by name, email or role and shows each person's role. Pipeline cards show every owner, and the Preconstruction Dashboard filter matches an opportunity if any of its owners is selected. Impact Pipeline ownership reflects how your team actually works, whether the owner is an estimator, a PM or a director. The new Deal Owners picker on Create New Opportunity: two owners already added, a search in progress, and each person shown with their role. Invoices that arrive as images display beside the extracted details Before The Invoice Inbox and Invoice Register viewer was built for PDFs. A phone photo of a docket or a scanned invoice saved as an image did not show next to the extracted fields, so checking it meant digging out the original email. After Image invoices and image attachments now display in the same viewer, side by side with the extracted details, in both the Invoice Inbox and the Invoice Register. Image files are also accepted on upload. Impact The invoices most likely to need a second look (small trades, hire dockets, handwritten invoices) can now be checked against the source without leaving the screen. KAI and help search take you to the exact section of a guide Before Help guide links from KAI and from help search opened a guide at a page number, and guides were PDF only. After Help guides can now be published as web pages. When KAI answers a how-to question or help search finds a match in one of these guides, the link opens the guide at the relevant section, not just the right page. PDF guides work exactly as before. Impact Ask KAI how to approve a provisional sum drawdown and land on the paragraph that tells you, not on page one. Help Guide Search results for "close a provisional sum allowance": every match is tagged with the guide section it comes from, and opens the guide right at that section. Fixes GST-free PO lines stay GST free all the way to Xero Before When a supplier invoice was matched to a PO line marked GST Free, the line showed as GST Free on screen but was converted and pushed to Xero as taxed. Mixed invoices were hit hardest. After A matched invoice line now inherits the GST Free treatment from its PO line on conversion, and the row shows it. A treatment you set on the row yourself still wins. PO variation preview shows the right Revised PO Total Before Creating a PO variation could preview a negative Revised PO Total, because the preview started from the original PO amount (ignoring earlier approved variations) and subtracted a GST-inclusive change from an ex-GST total. The saved result was correct; the preview was not. After The preview starts from the current revised PO amount and applies the change on the same ex-GST basis. PO Register Total Amount card matches the list Before The Total Amount card on the PO Register could read higher than the POs listed beneath it. After The summary cards are built from the same line items as the list, so the card and the list footer agree. Notices issued from a portal name the project Before Notices issued from a client, consultant or subcontractor portal went out with no project name in the email subject, the opening line or the reference grid. Clarifications and passed-on notices lost it too. After The project name now appears on every issued notice, whichever portal or path it was issued from. Builder-issued notices are unchanged. Tenders past Submit can be edited again Before Saving changes to a tender that had passed the Submit stage returned "Failed to Edit", even for ordinary tender details. After Tender details save normally after submission. The stage lock now applies only to a genuine stage change, and if a save is ever refused, you see the actual reason instead of a generic error. Compare Bids and Bid Package Management follow-ups Before On a New Zealand project, Compare Bids fell back to showing "$" after a reload. Reloading Bid Package Management dropped you back on the packages list instead of the package you had open. And marking a named line as Risk moved its money below Comparative Value with nothing on screen saying why. After The project currency label holds after a reload, a reload keeps you in the open package, and the comparison explains that Risk lines sit below Comparative Value, roll into Total Contingency, and still count toward the total the award is judged on.
