What Got Shipped Today - 11/9/26 - KAI checks a file is really a quote, an invoice cannot outrun its purchase order, and Budget Register Remaining adds up

11 September 2026 Features KAI now checks whether a file is actually a quote User Story As an estimator, I dropped whatever the subbie emailed me onto the bid package and a structural drawing quietly became a bidder, so I can now trust that only real quotes price the job. Before Anything dropped on a bid package was stored as a quote. A marking drawing, a capability statement, an insurance certificate, a signed invitation to tender: all of them landed in the quote register and joined the bid comparison as a bidder who happened to be silent on every line. Nothing in the platform asked whether the document was a quote at all. After KAI now judges what the document actually is as part of the same read it already performs, at no extra cost. Anything that is not a quote is marked and held out of the comparison. The file stays on the package as an attachment, because you put it there deliberately. It just cannot price anything. Impact Your bid comparison now contains bidders, not paperwork. In the real sample we tested against, two of nine files a subcontractor sent were not quotes, and both would previously have gone straight into the comparison. That is the difference between a comparison you can award off and one you have to audit first. Known limitations If KAI cannot classify a document confidently, it is treated as a quote rather than set aside. Showing you something to correct is the safer failure than quietly parking a genuine bid. A quote filed under the wrong subbie now says so User Story As an estimator dropping a dozen PDFs in one sitting, I had no way of knowing when I picked the wrong name from the dropdown, so I can now catch a misfiled quote the moment it lands. Before You chose the subcontractor from a dropdown for every quote you filed. If you picked the wrong one, the platform stored it, displayed it and compared it without a word. A quote attributed to the wrong subbie corrupts the comparison and, further down the line, the award. After KAI reads the supplier name off the document and compares it to the subcontractor you filed it under. When they do not plausibly match, an amber chip appears on the row reading what the document actually says, with the full explanation on hover. You accept it or correct it in one click. Impact Misfiling at volume stops being something you discover at award time. The matching is deliberately generous: trading names, entity suffixes, a parent quoting for a subsidiary and shared distinctive words all read as a match, so the warning only fires when something is genuinely off. A warning that cries wolf gets dismissed, and then the real misfiling goes through too. Improvements An invoice can no longer be approved against an unapproved commitment User Story As a commercial manager, I could approve an invoice and push it to Xero while the purchase order behind it was still sitting in draft, so I can now rely on the platform to hold the sequence for me. Before An invoice or subcontractor claim could be approved and sent to Xero even though the purchase order or subcontract it drew down against had never been approved. That posted a bill against a commitment nobody had committed to. After Approval and the push to Xero are both blocked while the linked purchase order or subcontract is unapproved, with the reason stated on the disabled action and the commitment named so you know exactly what to approve first. Impact The commercial sequence is now enforced by the platform rather than by memory. Receiving and drafting an invoice before its commitment exists still works exactly as it did, because that is a real workflow. What changed is that the money cannot move until the commitment is real. Fixes The Quotes tab now tells you when KAI has finished reading Before KAI takes about thirty seconds to read a quote, and the Quotes tab never noticed when it was done. The "Reading" chip sat there indefinitely. The only way to see the extracted total was to navigate away from the tab and come back. After The tab refreshes itself while a quote is being read and stops the moment it is finished. Totals appear on their own. Impact A slow read now reads as slow. Before this, it read as broken, which is a worse impression and a harder one to undo. The quote review pane can now show you the source PDF Before Opening a quote showed "The source PDF is not available yet." Always, for every quote. The pane exists so you can check KAI's reading against the document, and it told you to do exactly that while giving you nothing to check against. After The source PDF loads in the review pane alongside the extracted figures. Impact You can verify what KAI read without leaving the platform. Before this the only way to check was to reopen the PDF out of your email, which is precisely the workflow this whole chain exists to remove. Budget Register Remaining now matches its own definition Before The Remaining summary tile and the Remaining column underneath it disagreed. The tile subtracted pending commitments, as the definition on the info panel says it should. The column did not. On a live project that showed as a mismatch of tens of thousands of dollars, and the committed and remaining percentages totalled 99.87 rather than 100. After The Remaining column follows the documented definition: revised budget less committed less pending commitments. The tile is the sum of that column. The percentages total 100. The Budget Register after the fix. Preliminaries shows a $200,000 revised budget with nothing committed and $27,445 of pending commitments, and Remaining reads $172,555, so the pending column is now subtracted exactly as the definition says. Impact The amount was small. The credibility cost was not. A summary figure that does not reconcile with the rows beneath it is the kind of thing a financial controller finds once and then stops trusting the whole register over. A long file name no longer pushes the drawings column off the screen Before In the Upload revisions modal on the Document Register, a file with a long name stretched its card and widened the whole New files column. The space came out of the Registered drawings column on the right, which was then clipped. With a long enough name the drawings could not be read or dropped onto at all, which blocks the matching the modal exists for. After Long file names are shortened with an ellipsis and the two columns hold their intended proportions regardless of what you drop in. The Upload revisions modal after the fix. However long the file name, it now shortens with an ellipsis and the registered drawings stay at full width on the right, so you can still read them and drop onto them. Impact Uploading a revision works the same whatever a consultant chose to call the file. Every one of these came from a builder telling us what was in the way. If something is slowing you down, or you want to see something here, raise it through the feedback portal in the platform. We read all of it.
