What Got Shipped Today - 9/9/26 - Provisional sums always raise a variation, site photos stop going missing, and the head contract registers get their columns back

Wednesday 9 September 2026 Features Every Provisional Sum Movement Now Leaves a Paper Trail User Story As a Commercial Manager, I used to watch the head contract sum shift when a Provisional Sum was overdrawn with no variation anywhere to point at, so I can now hand a QS a Variations register that explains every movement in the contract sum. Before Overdrawing a Provisional Sum crystallised the adjustment on the PS record and moved the head contract sum directly. Nothing appeared in the Variations register. A QS or Superintendent reconciling a final account found a contract sum that had moved with no instrument behind it, and no way to reconstruct why. After Any event that moves the contract sum raises a Head Contract Variation, every time. Cross the allowance, you get a variation. Close out under the allowance, you get a credit variation. Stay within the allowance and nothing is raised, because nothing moved. The variation carries the net adjustment only (actual cost plus margin, less the allowance), never the full drawdown value. A $6,000 allowance drawn to $8,000 reads as a $2,000 variation rather than 133% certified against the original line. The generated variation gets its own ID, sits in the Variations register like any other variation, links visibly back to its Provisional Sum on both records, and prints the full build-up on the variation document so the Superintendent sees exactly what is covered by allowance and what is new money. The Direct versus Via Variation adjustment mode toggle has been retired. With every contract sum movement now evidenced by a variation, Direct had no job left to do. Impact The contract sum and the documentation that authorises it can no longer drift apart. Final account reconciliation becomes a register read rather than an archaeology exercise, and the audit trail holds up in front of a client's QS. Improvements Column and Filter Control Across the Head Contract Registers User Story As a Commercial Manager working the client side of a job, I had to scroll sideways through thirteen fixed columns to read a single row, so I can now hide what I do not need and see the numbers that matter. Before The Column and Filter panel existed on the Budget Register, the PO Register and the subcontractor registers, but every Head Contract page went without it. The Head Contract Register carried thirteen columns with no way to hide any of them, and the CLAIMED value was clipped mid-figure behind a horizontal scrollbar on a table holding one row. After The same Column and Filter panel now sits on the Head Contract group and the Invoices registers. Choose the columns you want, hide the rest, and the layout stops fighting you. Impact The client-side registers finally read the way the subcontractor side has for weeks. Different roles can shape the same register to their own job without asking anyone to redesign it. The Column and Filter control now on the Head Contract Register, with the visible-columns checklist open so any of the thirteen columns can be hidden. Payment Schedules (Issued): a Running Total and a Clear Approved Versus Pending Read User Story As a Project Engineer reporting to management, I had to add schedules up by hand to answer how much we have certified so far, so I can now read it off the register. Before The Payment Schedules (Issued) register listed schedules with nothing underneath to total them, and no quick way to separate certified money that has landed on the contract from money still waiting on a decision. Reading the position meant working through the list schedule by schedule against the generated documents. After A cumulative Approved To Date column runs down the register, with approved and pending summary cards above the list. Impact The position is legible at a glance instead of being reconstructed each time someone asks for it. Payment Schedules (Issued) with the new cumulative Approved To Date column, the approved and pending summary cards above the list, and a totals row across all schedules. Known limitations The Schedule of Values table inside the Contract Position popup still has no Total row. That is tracked separately and is not in this release. Fixes Site Photos Taken on DS Site No Longer Go Missing User Story As a Site Manager photographing progress on DS Site, I used to find most of a morning's photos had never reached the platform, so I can now take fifteen shots and see fifteen shots. Before DS Site fires one notification when a form is created, and the platform read the submission about four seconds later. Photos attach one at a time over the following seconds and minutes, so anything that landed after that four-second read existed on the phone and nowhere else, with no retry and no error. Across three weeks of Site Photos submissions, not one delivered more than three photos while DS Site held as many as fifteen. On the worst single submission, fifteen photos were taken and one arrived. After The platform now re-reads each submission on a converging ladder, at 45 seconds, three minutes and fifteen minutes, and stops as soon as a pass finds nothing new. Photos that finish uploading well after the form is submitted are picked up and filed into the right project folder and album. Re-reads never duplicate a photo that already landed. Verified in production the same day: two live submissions that first delivered two photos and one photo recovered to twenty-two and twenty-eight, converging cleanly with no duplicates. Impact The photographic record of a site is complete again. Nobody has to check whether the photos made it, and nobody has to go back and re-shoot work that has since been covered up. Known limitations This covers Site Photos submissions. Site Diary, inductions and safety inspections are scheduled to follow. Recovering photos lost before this shipped, or added to a submission hours later, needs the day-by-day recovery run that is still in build. Budget Register No Longer Double-Counts Subcontract Variations on Screen User Story As a Commercial Manager eyeballing the Budget Register, I used to add a subcontract variation twice without realising it, so I can now trust the committed figure I am reading. Before When a subcontract carried a variation, the increment appeared folded into the subcontract line and again as a separate variation line. The underlying numbers were correct, but anyone reading down the register and totalling as they went overstated the commitment. After The subcontract and its variations present once, with the variation nested clearly under its parent rather than re-adding to it. Impact The register reads the way it calculates. A number you can read off the screen is a number you can quote. Project Selector Restored on Subcontract Claims in the Invoice Register User Story As an Accounts user matching a subcontractor invoice, I could not tell the Invoice Register which project a subcontract claim belonged to, so I can now pick it and let the match complete. Before Matching a subcontract claim in the Invoice Register offered no project selector, which stalled the match on any workspace running more than one live job. After The project dropdown is there on the subcontract claim match. Impact Invoice matching stops being a dead end for multi-project workspaces. Tender Tracker Search Box No Longer Collapses User Story As an Estimator searching the Tender Tracker on a laptop, I had a search field three characters wide, so I can now actually type into it. Before Every control in the Tender Tracker header could shrink, so on anything narrower than a large desktop window the search box absorbed the loss. The placeholder was clipped to "Sea", the row overflowed horizontally, and the New tender button label wrapped onto two lines. Both the List and Pipeline views were affected. After The header controls wrap onto a second tidy row instead of compressing. The search box holds its full width at every window size, the row no longer overflows, and the wide-screen layout is unchanged. Impact Searching a tender list on a laptop stops being a fight with the layout. The Tender Tracker header after the fix: the search field holds its full width with the placeholder readable, and the row no longer overflows.
