Tender Tracker: Your Whole Pipeline, Live in Deep Space
Winning work starts long before a contract is signed, but the tender phase has always been the least visible part of the business. The new Tender Tracker in Deep Space puts every live bid, from first approach through to won or lost, on one screen the whole preconstruction team shares. Find it under Preconstruction, then Tender Tracker. What it replaces Tender registers in Excel. Bid or no-bid calls buried in email. Pipeline value tracked on a whiteboard. Commercial conditions re-keyed from a PDF every time someone asks. The Tender Tracker pulls all of it into one register that keeps itself up to date. How teams are already using it The Monday pipeline stand-up. Open the tracker, switch to Pipeline view, and the whole team sees every open bid by stage and the value sitting in each column. No spreadsheet to rebuild, no digging through inboxes. Bid or no-bid triage. A new enquiry lands. Add it as a tender in one field, set the stage to Awaiting Documents, capture the conditions, then make the call against real detail instead of a subject line. Handover to the estimator. Assign the estimator on the tender and the value and margin read live from Estimation as they price it, so the number on the tender is always the number in the estimate. How to use it, step by step Open the Tender Tracker Open Preconstruction, then Tender Tracker, from the left menu. It opens in List view. The subheading shows your live pipeline: how many bids are open and the total value in play. Read the register Each row is one tender, with Project or Tender name, Client, Value, Closes and Stage. A dash in a column just means that field has not been filled in yet. Filter the register by stage Click a stage chip such as Pricing to show only the tenders at that stage. Each chip carries a live count, and All clears the filter. The search box narrows the list by project or client as you type. Switch to the Pipeline board Click Pipeline, top right. Each stage becomes a column, each tender a card, and each column header totals its value, so you can see where the pipeline is sitting. Drag a card between columns to move a bid along. Open a tender Click any row or card to open the tender record on the right. Across the top you get the stage bar, the outcome buttons (Won, Lost, No Bid) and a Readiness Score that reads how complete and submission-ready the bid is. Work the Details tab The Details tab holds the spine of the bid: client and contact, location, value and the key dates. Overdue submission dates are flagged in red. It also carries the assigned Estimator, the wider Team, the current stage and a Risk Level. Capture the commercial terms Open Overview & Conditions to record the commercial terms as structured fields: estimated value, tender close, submission method and region, then the full conditions block (conditions of contract, tender validity, bonds, insurances, liquidated damages, retention items and nominated subcontractors). No more digging it out of a PDF each time. Link trade packages The Trades tab shows the trade packages for the bid, linked to Subcontractor Tendering. Build packages once and they live against the tender, so pricing and coverage travel with the bid. Read value and margin live The Estimate & Margin tab shows tender value, gross margin percentage and return per hour, read live from Estimation. Use Open in Estimation to work on the full bill of quantities and subcontractor comparison. The number on the tender is always the number in the estimate. Keep the documents on the bid The Documents tab is a versioned file library on the tender: a folder tree, upload, and version, type, source and uploader for every file. Drawings, addenda and the tender documents all sit against the bid they belong to. Keep the conversation on the record Use the Comments tab to note decisions and pricing rationale against the tender, so the bid conversation stays on the record instead of scattered across email. Add a new tender in one field Click + New tender. The only required field is the project: pick an existing one or type a new name, and if there is no match, keep typing and it is created for you with your access set up. Client, estimated value and close date are optional and can wait. Why it matters Pipeline value is true at a glance because it is computed, not maintained. Margin is trustworthy because it reads live from the estimate, not copied across. Every bid's conditions, trades, documents and decisions live in one shared record. And starting or moving a bid is a click, so the tool actually gets used, which is the only way a pipeline stays accurate.
