Capture Subcontractor Inductions Straight Into Your Own Documents

You can now collect subcontractor induction and compliance documents and store them directly in your own Company Documents. Set it up once, and every submission files itself into a clean, dated structure, even when the subcontractor has no Deep Space workspace of their own. The new Induction Settings tab Head to Company Settings and you will find a new Induction Settings tab, the command centre for the whole workflow. Choose your storage mode. Save to the subcontractor's workspace (the old way), straight into your Company Documents (the new way), or both at once. Configure everything in one place. Company and worker induction forms, prefill mappings, approval fields, and the emails sent to recipients. One-click metadata setup. The Create required metadata types button instantly sets up your document types (Insurance, Safety & QA, Worker Licences), each with required expiry dates. A neat, tidy CDE folder structure When an induction is submitted in the new mode, you don't lift a finger. Documents are filed into your Company Documents under a clear structure, with all metadata set automatically. Company Documents └── Subcontractor Inductions └── [Company Name] ([ABN]) ├── Insurance (e.g. Public Liability, WorkCover) ├── Safety & QA (e.g. SWMS, WHS) ├── Business └── Workers └── [Worker Name] (e.g. licences, certifications) Company documents are filed by ABN and tagged with their type and expiry date. Worker documents are filed under their employer and linked straight to that worker's contact record. It all works even when the subcontractor doesn't have their own Deep Space workspace. A smarter Compliance tab The Compliance tab in the Company Directory now always knows where to look. Insurance, Business and Safety. These sub-tabs pull documents straight from your workspace on the new mode, so there is zero dependency on the subcontractor's workspace. Workers. Each worker shows alongside their captured licences. If a document arrives for a worker who isn't listed yet, it waits safely under Unmatched worker documents. How to set it up Enable the feature. Company Settings > Induction Settings, then turn on Save into Company Documents folder structure. Set up document types. Click Create required metadata types for CDE document capture so your Document Registry is ready. Configure your forms. Select your DS Site form, set the ABN and email fields, and map your approvals. Configure your template emails. Draft the emails so recipients get their form links. Send it out. In the Company Directory, click the menu next to a company or worker and hit Send induction. One thing to remember: company documents are matched by ABN and worker documents by email, so make sure the subcontractor already exists in your company directory first. Coming soon We are not stopping here. A future release will add an advanced compliance report that reads all of this captured data and shows which documents are expired or non-compliant.
