Timesheets V2

Exact-time, multi-project capture in the worker’s hand on DS Site, a workspace-wide approval grid on the Deep Space Platform, and a one-click payroll-ready export. The handoff Deep Space was missing Deep Space has owned project costing for a while now. The gap was the last mile: getting accurate hours out of the worker’s hand on site and into a payroll engine without a spreadsheet shuffle in between. Timesheets V2 closes that gap end to end. Workers record exact start, end and break times on DS Site, for every project they touched that day. Approvers see the whole company’s week on one screen in the Platform, sign it off per worker, and hand a clean CSV straight to Deputy, Employment Hero, MYOB, KeyPay or Xero Payroll. Deep Space owns the hours. The payroll engine owns the rates and the award interpretation. USER STORY As an admin/manager, I used to chase timesheets and one-project-per-day workarounds, re-keying everything into payroll by hand. Now the team captures exact times on their phones, I review the whole week in one grid, approve it per worker, and export it ready to push. 5. Approval that locks the week Approvals are per-worker-per-week, the natural unit for payroll. Each worker’s row carries two chips: Admin (first review, typically site-level) and Manager (final approval). Setting the manager approval locks the worker’s week. Once locked: no more overrides, no more accept-latest changes. Refreshes still run, so the sync icon will still flag if DS Site changes, but the locked data is preserved. No unlock in this release. Once a manager has approved, the row is committed for payroll. That’s deliberate. Locking is the audit boundary. A controlled revoke flow may come later if it’s needed. 7. Quality-of-life details that earn trust • Smart rounding. Hours round per entry to the nearest 15 minutes, with a 10-minute threshold inside the bucket. One rule, in one place in the code, so changing it changes it everywhere. • Overnight shifts. A 22:00 to 06:00 shift is attributed to the start day with the full duration counted, minus break. • Mandatory breaks, including zero. Every entry requires a break start and end. A worker who took no break records matching times. No more “did you forget to log a break?” ambiguity. • Duplicate-submission safety. If a worker submits twice, the newest is picked the first time the week is built, then the Platform stays with it. A stray late edit can’t silently change a worker’s hours. Alternates are switchable manually in the drawer. • Survives DS Site outages. The accepted snapshot is stored on the Platform, so the grid still renders last-known values during a brief outage, with a banner explaining what’s stale. Approvals and exports keep working. * Why this matters This is the foundation for the payroll-integration story we’ve been positioning with prospects. Deep Space owns project costing. Deputy (or whichever payroll provider) owns award interpretation and the push to Xero. Our job is to give them clean, approved hours by cost code. Timesheets V2 is how that happens: capture on site via DS Site, aggregate and approve centrally on the Platform, hand off via CSV. Soon, an automated push. How to get access Internal preview is live now, visible to existing customers. To turn on the menu entry for a workspace, contact the Deep Space team. Workers’ DS Site channel needs the new Daily Time Record form installed. For other channels it’s a one-shot install via the standard form template tooling.
