Document Templates - Finally, Build the commercial templates the way you want to

The Problem Your commercial documents belong to someone else. The templates that generate your progress claims, your invoices, your RCTIs, your payment schedules, in most construction software, they are hard-coded by the vendor. You want to tweak the wording on a cover letter. Adjust how a payment schedule lays out. Add a variable to an RCTI. You cannot. You raise a support ticket. You wait. You go back and forth explaining what you actually meant. Weeks later, if you are lucky, a developer ships the change. The documents going out under your name are shaped by someone else's schedule. What's New Four commercial documents, now yours to edit. Document Templates is a new feature in Deep Space. Four commercial documents are now first-class objects in the platform - editable, versioned, tagged, and under your control. Open the library, find the template, edit it. Change the wording. Restructure the layout. Add or remove variables. Reformat a table. Publish. The next document generated uses your version. This is the first set for the commercial documents. Deep Space already has an AI form builder for site form templates. Document Templates brings the same principle - templates you can edit yourself to commercial documents, starting with the four below. Live at launch HC Progress Claim Head Contract Tax Invoice Subcontractor RCTI Subcontractor Payment Schedule Purchase orders, subcontracts, documents remain hard-coded for now. They will move into this model over time. But the foundation is a proper template library, a proper editor, proper versioning is in place. Every template in the library is versioned. Edit a published template and Deep Space clones it into a draft. The live version keeps running. You promote the new version when it is ready. The Editor A word processor on the canvas. A data tool on the sides. The editor behaves like Word or Google Docs for formatting — headings, lists, colours, links, images, tables. But it is wired to the project. A sidebar on the left lists every variable available to the template, grouped by source: Company Info, Claim Details, Invoice Details, and more. Click any variable to drop it into the template at the cursor. A counter tracks how many variables you have used out of how many exist. A preview panel on the right shows the template in two modes. Variables mode highlights every placeholder — [principalcontractorname], [grossclaiminc_gst] — so you can verify the data mapping. Sample mode fills the template with example values so you can see the finished document. Download a Sample PDF before publishing. Drafting Two ways in. Click + New Template to start with a blank canvas. Or click New with KAI to hand the AI a plain-English brief — "Create a formal progress claim cover letter with project details, claim period, and amount summary" — and let it generate a draft you can polish. To change a published template, click Revise inside the editor or New Version from the library grid. Either creates a fresh draft without touching the live version. Flow: + New Template → Draft → Variables + Sample Preview → Publish → Live Tag templates freely — head contract, progress claim, rcti, payment schedule — so your team finds the right one at the right time. The Generation Flow The template runs the document. When the time comes to generate a real claim or invoice, Deep Space reads the published template and produces a two-part form: fields that auto-fill from the contract, and fields that are completed manually. The template defines which variables appear where. In an example above, thirteen fields auto-fill from the Head Contract — Principal Contractor, SOPA Act, Claim Period, Net Payment Claimed, Bank Account Name, Claim Number, Claim Date. Twelve remaining fields are completed manually and can be saved as defaults for next time. The preview, rendered with live project data, is what will leave the system: Change the template, and every document generated from that template afterwards reflects the change. One edit, propagated everywhere. Why It Matters The documents your business sends out are part of your brand. The wording on a progress claim. The layout of an RCTI. The structure of a payment schedule. These are things your commercial team has opinions about. Until now, acting on those opinions meant filing a ticket with your software provider and waiting. Deep Space changes the contract. The commercial team that owns the content of a progress claim can now own the template. The admin who needs to adjust the format of an RCTI can do it this afternoon. The person who needs to verify that [grossclaiminc_gst] maps to the right value can see it in Sample mode before a single document goes out. Consistency across projects is no longer enforced by a support ticket. It is enforced by your library, edited by your team, on your schedule. What's Next More commercial templates, more documents under your control. Deep Space already gives you AI-driven control over site form templates. Document Templates extends the same principle into commercial documents, starting with the four live at launch. Purchase orders, subcontracts, and other commercial and procurement documents are next. The foundation is in place — the work now is bringing more documents under it. © 2026 Deep Space Group · deepspacegroup.ai
