Directory & Workspace Permissions, Rebuilt - Every company, client, user, and worker in place

One place to manage every company, client, user, and worker and what they can access. Overview Managing people in a construction workspace means managing access, compliance, and relationships across multiple registers that rarely talk to each other. Who is a subcontractor? Who is a client? Who has access to which projects? Which workers are verified? The Directory is now the single address book for your entire workspace. Supply chain companies, clients, users, and company workers are all reachable from one navigation path, each with their own purpose-built register. And workspace permissions - the roles that determine what a user can see and do, are now manageable directly from the user table without leaving the page. What's New Four registers. One directory. Permissions built in. The Company Directory and User Directory now have explicit app-map routes, making navigation consistent whether you're linking, bookmarking, or searching. Inside the Company Directory, three tabs structure your external relationships: 1. My Companies — Supply Chain Surfaces subcontractors and suppliers alongside compliance status, preferred vendor flags, and project assignment counts. Search by name or ABN. Download or add companies inline. 2. Client Directory Tracks workspace-specific client relationships with contact details, region, project count, status, and tags — including Xero sync state. Switch between table and grid views. Filter by status, region, or tag. 3. Manage Companies Handles the approval pipeline for organisation-created companies. Approve pending companies to make them visible across the workspace, or revoke approval to hide them again. Workspace Permissions Roles are no longer buried. They are one click away. Every user row in the Directory now has a Workspace Permission action in its overflow menu. Open it, and a dedicated modal shows the four workspace-level roles: Workspace Manager Dashboard Viewer Primary Company Admin Workspace Member Toggle them on or off and save. The update reflects immediately — no page reload, no second screen. User Directory — Manage Project Access The User Directory lists all workspace users with role, department, status, and project count. The Manage Project Access modal shows current assignments and lets admins add or remove project-level access from a single panel. Company Workers Tracks individual workers with verification status and RIC (Registered Industry Card) badge and expiry tracking. Search, filter, download, bulk add, or add workers individually. Simplified onboarding: New users invited to the workspace now default to Workspace Member and Workspace Manager roles at creation time. Less manual permission work during onboarding — admins only need to adjust if the defaults don't fit. Before & After Before: Directory pages could resolve inconsistently depending on how you arrived. Workspace permissions lived in a separate admin area, requiring admins to navigate away from the user table to change roles. New users needed manual permission setup after invite. After: Directory routes are explicit and stable. Permissions are accessible inline from the user table. Defaults are applied on invite. The admin stays in one place, the user gets access faster, and the workspace stays governed. Directory → User Row → Workspace Permission → Toggle Roles → Save Why It Matters When a workspace grows from five users to fifty, the number of permission decisions compounds. Every new project, every new subcontractor, every new hire is a set of access questions that need answers quickly and correctly. If the controls are hard to find, they get skipped. If they get skipped, someone either has too much access or not enough. Surfacing permissions directly in the Directory table means the admin sees the user and their access state in the same view. The decision and the action happen in the same place. That is faster, but more importantly, it is safer. Migration Notes One permission update required for existing workspaces The Directory has moved to a top-level navigation item with its own route structure. Because of this, Company Directory and User Directory are now separate features in the role permission matrix. Existing roles will not have these permissions enabled by default. For each role that needs access to the Directory, an admin must open the role configuration and enable the View permission (at minimum) for both Company Directory and User Directory. Without this step, users in that role will not see the Directory in their navigation. The Directory feature group in the role permission matrix. Enable View for Company Directory and User Directory on every role that needs access. Create, Edit, Delete, and Approve can be assigned based on the role's administrative scope. Required for existing workspaces. New workspaces created after this release will have sensible defaults. Admins should also validate that the new default invite behaviour — Workspace Member and Workspace Manager roles assigned at creation — aligns with their internal access policy. We recommend updating internal admin SOPs to reference both the new Directory permissions and the Workspace Permission menu action. © 2026 Deep Space Group · deepspacegroup.ai
