Opportunity Tracker & Incoming Tenders

Business development and tender management, connected to the project from day one Most commercial builders win work through relationships, reputation, and timing. But managing the pipeline of opportunities that leads to a signed contract has typically happened outside the project management system entirely and in CRMs that don't understand construction, spreadsheets that go stale, and email threads that nobody can find when the bid debrief happens six months later. The result is a gap between business development and project delivery. By the time a project enters the system, the history of how it was won - the client relationships, the probability assessments, the tender decisions has already been lost. A live pipeline view, from first contact to award The Opportunity Tracker gives preconstruction teams a live view of every deal in the pipeline, from first identification through to award. The module sits inside the Preconstruction section of Deep Space making business development a first-class part of the project lifecycle. Pipeline view showing all opportunities arranged by stage - Identified, Qualifying, ROI, Tender, Negotiation, Awarded etc. with probability badges and estimated values per card. The pipeline is visible in two modes. List view shows all opportunities in a structured table with status, probability, and tags. Pipeline view arranges every opportunity by stage as a visual board where the shape of the forward workbook is immediately readable. Total pipeline value, weighted pipeline value, and upcoming submissions are displayed as headline figures, giving business development and preconstruction managers a real-time view of what the company is chasing and what it's worth. Creating an opportunity in under a minute Creating a new opportunity takes a single action. The creation modal captures stage, project name, client, tags, and estimated project value. KAI Auto-Fill is available to prefill opportunity details from existing project context, reducing the manual effort of logging deals as they emerge from client conversations. A complete record for every opportunity Each opportunity has a full detail panel. Opportunity Details capture status, probability, estimated value, source, client, estimator, and key dates - identified date, submission deadline, and expected award. Project Information pulls through the linked project record including address, description, project type, start and completion dates, and assigned team members. When an opportunity is ready to progress, a single Convert to Tender button moves it forward without requiring data to be re-entered. Incoming Tenders Readiness scoring and risk visible before you open the record The Incoming Tenders module manages the tender package once a decision to bid has been made. Each tender record carries a Readiness Score, a 0 to 100 rating calculated from the completeness of the record and a Risk Factors panel that names specific gaps: no related documents, no team assigned, overdue submission dates. High-risk tenders are flagged in the list before a user opens the record, so portfolio-level risk is visible without needing to click into every package. The problem surfaces early enough to act on it. Document management built into the tender record Each tender record connects directly to the project's Common Data Environment. Documents can be stored in any folder within the subfolders and they stay there. A drawing uploaded during tender doesn't disappear when the project is awarded. A spec issued by the client during the bid period remains traceable, versioned, and accessible to the delivery team when construction begins. Files show version, type, source, and the team member who uploaded them. The tender becomes the starting point of the project document record, not a parallel system that gets abandoned once the contract is signed. In Practice From conversation to committed tender without leaving the system A preconstruction manager hears about a new commercial office project in Richmond through a client contact. They open the Opportunity Tracker and create a new opportunity in under a minute - project name, client, estimated value, stage set to Identifying. Over the following weeks the opportunity moves through Qualifying and ROI as the team assesses project feasibility and client intent. Probability is updated as confidence grows. The weighted pipeline figure on the dashboard adjusts automatically. When the client invites the builder to tender, the estimator opens the opportunity record, reviews the full detail panel -scope, team, key dates and hits Convert to Tender. The record moves into Incoming Tenders with its project context already intact. Inside the tender record, the estimator uploads the tender drawings, specifications, and scope documents directly into the Preconstruction>Tenders folder. The Readiness Score updates as the record becomes more complete. Risk factors such as missing team assignment, overdue submission date are visible to anyone who opens the record or views the tender list. The submission is made. The outcome flows through to Tender Outcome and Win/Loss reporting in the same module. When a key person leaves, that knowledge leaves with them. When a project is won, the reasoning behind the bid decision is rarely documented in a form the delivery team can use. The Opportunity Tracker creates a structured record of every deal the business pursues.
