New: Bulk Cost Code Import
Cost codes are one of the most critical foundations in a construction system, yet they are often treated as a quick setup task. A spreadsheet gets uploaded, everyone moves on, and the issues only surface later - budgets don’t roll up properly, reports become inconsistent, and projects can’t be compared cleanly. Because cost codes sit underneath estimating, procurement, claims, and forecasting, any weakness in their structure tends to affect the entire project lifecycle. A common reason this goes wrong is that many systems try to do too much at once. Cost codes are imported already mixed with financial assumptions, hidden mappings, or legacy structures that are hard to understand. The setup feels fast, but it often locks in problems that are difficult to unwind once projects are live. Deep Space takes a more deliberate approach with Bulk Cost Code Import. The goal is to establish a clean, consistent project cost structure that will hold up across all projects. The process starts by setting up Budget Categories at a company level. Budget Categories define how the business groups and reviews costs across projects. They are reused everywhere and form the backbone for budgets, forecasting, and portfolio reporting. Cost codes are then prepared separately. The import file contains only the cost code hierarchy and descriptions, and nothing is committed at this stage. This allows teams to focus on whether the cost codes themselves are logical, consistent, and fit for how projects are actually managed. When the cost code file is uploaded, Deep Space presents an import preview. This is where each cost code is reviewed and assigned to the appropriate Budget Category. Doing this inside the system makes the structure visible and easy to validate before anything is finalised. Users can clearly see how detailed cost tracking will roll up into higher-level project reporting. Once confirmed, the cost codes are created and ready to be used across budgets, procurement, claims, forecasting, and reporting. Because the structure is intentional and consistent, new projects start clean and existing projects remain comparable. By separating budget structure from cost code detail and handling the mapping deliberately during import, Deep Space avoids the common pitfalls seen in other systems. It reduces rework, improves reporting accuracy, and saves time over the life of every project. The upfront discipline pays off long after setup is complete.
